The Role Yurgosky is seeking a highly motivated, organized and collaborative Project Manager to manage our technology development projects. The ideal candidate will have experience working with key internal and external stakeholders to deliver technical solutions on time and on budget. The Project Manager creates a magical experience for their clients, while working alongside Project Leads that develop best-in-class solutions. Project managers are in charge of creating client evangelists, ensuring all stakeholders feel heard, receive timely and complete communication, and ensuring the applications that are built meet the clients business needs. In this role, you will ensure: Projects are completed on-budget and on-time. Project plans are always up to-date and available to internal and external stakeholders. Clients feel supported, heard, and engaged. Clients business requirements are thoroughly analyzed and improved upon. All technical staff know what to work on each day for each project. Clients know exactly what we are working on and what has been delivered. All decisions are clearly documented throughout the project. Technical staff time is effectively allocated across projects. Products are fully tested and dont have bugs The Project Manager is expected to perform the functions below: Project Management (25%) Provide daily task lists to technical development team Provide daily oversight to ensure that tasks are completed and hours are logged Ensure Mavenlink is updated with task statuses in near real-time (daily) Lead internal check-in meetings to align team on project tasks Manage effort allocations for technical project team, ensuring that no one team member has more than 35 hours of tasks assigned each week Develop strong interpersonal relationships with technical project staff Manage task level efforts allocations in hours and dollars Monitor task-level effort allocations daily to ensure budget alignment across project tasks and deliverables Reallocate time between tasks based on effort used and needed for the future as needed Ensure that hours are logged by technical staff daily Identify all risks to the project budget before risks become issues Proactively identify creative solutions to potential budget issues to share with clients Work with internal technical staff to scope out effort estimates for contract changes Steward clients through budget and scope changes Track which tasks need to be completed on any given day in order to meet agreed upon deadlines Communicate upcoming milestone dates with internal and external stakeholders Connect all project tasks using dependencies in the GANTT chart Create critical path to success using GANTT chart Update task-level start & end dates daily based on activity (actual vs. expected) Problem solve to back into proposed client deadlines if and when client needs & deadlines shift Client Relationship Management (20%) Lead project kickoff meetings, guiding clients through Statement of Work and project timeline Lead client-facing realignment meetings to workshop project workplan and gather holistic feedback Actively solicit client feedback on working styles, and integrate it into the engagement strategy for each project Create detailed, task-level work plans based on proposed budgets Problem solve changes to the project budget and timeline if and when clients priorities shift Manage tasks related to feature sprints, planning for each stage of the product life-cycle and communicating needs well in advance Accept technical feedback from clients, ensuring its clearly communicated to internal staff Clearly follow Yurgosky policies and procedures around working styles and project management Track where each feature is in its development cycle at any given time, and share updates regularly with clients Plan ahead for and proactively communicate around all items needed from clients Effectively build supportive and lasting relationships with clients Communication (15%) Draft and send comprehensive weekly project summaries to clients Act as the point person for all client communication, strategically looping in internal staff as needed Coordinate client meetings; manage calendar invitations, and ensure all meetings have documented location (physical and virtual) Draft and send agendas for all client meetings at least 24 hrs in advance Document detailed notes from all client interactions and share recap emails, clearly outlining all key decisions and next steps Proactively escalate risks with management as soon as they are identified Communicate budget and timeline risks and recommendations to clients before they become issues Ensure clients know what Yurgosky is working and when each feature is available for testing Demonstrate tact, patience and respect in all client interactions Demonstrate superb clarity and attention to detail in all client communications, written and verbal Documentation (15%) Document clients business requirements Manage process for documenting changes to the project scope Document outcomes (key decisions and next steps) from all client interactions Create and share agendas for all client meetings at least 24 hours in advance Document project status updates using weekly project summaries Document all changes to clients production instances using Yurgoskys release documentation templates Ensure that Mavenlink project workplan is updated daily (task statuses, effort estimates, start & end dates, dependencies) to reflect actual outcomes from the day Ensure all client feedback is logged using Yurgoskys Issue Management tracker in Mavenlink Business Analysis (15%) Lead business process review and requirements gathering workshops Understand and analyze clients business needs Identify opportunities for simplifying and creating efficiency in clients business processes and effectively communicate them Work with clients to create structure where business processes may be ambiguous, changing, or do not yet exist Certify that proposed technology solution meets all business requirements Certify that technology solution meets clients reporting & analytics needs Quality Assurance (10%) Understand how end-users will interact with each technology feature Yurgosky builds Document product testing steps for Quality Assurance and client testers Oversee Quality Assurance testing process, communicating bugs & feedback to the appropriate technical staff in a timely manner The Candidate The ideal candidate for the Project Manager role will have excellent planning and people skills. He or she will be able to: Effectively coordinate all project-related efforts for internal and external stakeholders, using superb communication and time management skills Exercise agile project management best practices, adjusting project plans daily as needed Manage multiple complex, multi-stakeholder projects at once Effectively manage the effort allocations of technical staff, ensuring that even as projects shift, they work no greater than 35 hrs / week Maintain excellent judgment and professionalism, even in stressful times Identify risks, escalate them to management, and communicate risks & solutions to clients Be exceptionally organized, with the proven track record managing competing priorities and consistently meet deadlines Pay meticulous attention to detail and accuracy in written and verbal communication Lead client meetings, including kickoff meeting and project management check-ins Ability to create clear and concise client-facing communications and technical documentation Listen carefully to clients needs and effectively diffuse challenging or tense situations Maintain a can-do and collaborative attitude, with the ability to forge lasting interpersonal relationships with clients and teammates Be relentlessly positive and persistent attitude, to ask as the driving force coordinating efforts across stakeholders to drive each project to completion Follow documented policies and procedures and exercise industry best practices when a documented policy doesnt exist Required Qualifications Bachelors degree 5-10 years of relevant working experience Experience using enterprise level project management tool Expertise in creating and managing GANTT charts with task-level dependencies Experience managing projects using agile methodology Knowledge of technology product life-cycles At least 2 years experience in a budget-oversight or finance role Proficiency in Microsoft Office (Word, Excel, Powerpoint) and Google Apps (Mail, Google Sheets, Calendar, Drive, Docs, Slides).
